Viewing and managing multiple accounts – that sounds good

I run multiple email accounts covering my personal needs, accounts for ProReviewer email, work email, a spam trap account for when I have to register but am unsure if the email details will be sold on, a hotmail account for Windows Live id, Google Gmail accounts  and others. These become difficult, or at least a lot of work, to check and manage. Just being able to view all emails from a single application without having to login to multiple accounts and websites is a real bonus.

I wrote a post about a utility call PopMan a while back (PopMan 1.3 – Portable Email Management on Your Desktop and on the Move) I used this for a while but found that not being able to view HTML emails was too restrictive as so much email now is based on HTML. My search for a portable freeware email reader led me to find PopPeeper which I have used at home, at work and on the move for more than a year. The ability to be able to read all my emails and delete those I don’t want to keep from a single, fast acting utility is brilliant and a huge timesaver. The fact that it is portable so that I can transfer a single setup to all my computers and have it on a USB stick I can use on other PC’s is a great timesaver and means that I always see the same interface, the same colour codings, etc.

What’s is PopPeeper?

The PopPeeper website has a good description which I have repeated below. However PopPeeper is far more than just an email notifier. It allows you to:

Setup multiple accounts of all different types (Web/POP/IMAP/Gmail/Hotmail/Yahoo?etc)

  • Be notified when emails arrive
  • Read emails in plain text or HTML
  • View emails from all or individual accounts
  • Delete emails*
  • Send emails
  • Keep an email address book
  • View linked WebPages in PopPeeper message window or default web browser
  • Allows attachments to be opened

*Some web based emails such as Google’s Gmail do not “play nicely” and emails cannot be deleted from the account using PopPeeper- however as Gmail has a large storage capacity this will not pose a major problem for the average user

Description from the PopPeeper website

  • POP Peeper is an email notifier that runs in your Windows task bar and alerts you when you have new email on your POP3, IMAP (with IDLE support), Hotmail\MSN\LiveMail, Yahoo, GMail, MyWay, Excite, iWon, Lycos.com, RediffMail, Juno and NetZero accounts.
  • IMAP supports allows you to access AOL, AIM, Netscape and other services. Send mail directly from POP Peeper and use the address book to email your frequently used contacts.
  • POP Peeper allows you to view messages using HTML or you can choose to safely view all messages in rich or plain text.
  • Several options are available that will decrease or eliminate the risks of reading your email (viruses, javascript, webbugs, etc).
  • POP Peeper can be run from a portable device and can be password protected.
  • Many notification options are available to indicate when new mail has arrived, such as sound alerts (configurable for each account), flashing scroll lock, skinnable popup notifier, customized screensaver and more.

Outlook_Splash

Yesterdays post ( Remove Duplicate Emails and Other Items from MS Outlook with ODIR ) detailed some problems with Outlook duplicating emails if there is a timeout on the Internet connection while downloading your emails from the server. One tip that can help with this problem is to increase the timeout interval for the server connection.

ODIR – Outlook Duplicate Item Remover by Vaita, will search the individual folders in your MS Outlook setup and remove any duplicate items that it finds based on a simple set of rules.

If the Outlook email download process is interrupted part way through then it does not register that any emails have been received from the server. This can be caused by a crash in Outlook or the operating system, it can also happen due to Internet interruptions or a slow connection timing out. Other causes for duplicate items can be synchronisation with PDAs and mobile phones or the use of synchronisation software. Finding and removing these duplicates manually is a slow and painstaking process, ODIR provides a freeware method of making this much easier.

Note: For maximum safety I would advise that you backup your Outlook files before using this utility

Why Do I Use It?

I first started using ODIR 1 or 2 years ago when  I had some problems with my ISP and several timeouts when downloading emails caused a lot of duplicates to accumulate. Recently I had problems with Outlook crashing ( see Data Rescue Tip – Use MS Utilities to Repair Outlook Files ) and this weekend I had some more problems with timeouts due to my Internet connection misbehaving. This again resulted in a lot of duplicates that needed to be removed.

  • Simply removes duplicate items in:
    Microsoft Outlook 2000, 2002, 2003 and 2007

If your Outlook email files become corrupted you may not be able to start Outlook, the program may load slowly or unexpected behaviour or error messages may appear when carrying out operations like moving or deleting emails. What you may not know is that Microsoft provide tools to repair your .pst files (and .ost files for “corporate” Exchange Server setups.

Why Would You Want It?

Quite simply (and obviously :) ) to repair your email file if they have become corrupted. So if you think your Outlook email has become very slow to startup or is behaving strangely it may be worthwhile trying this solution.

Quite interestingly my Outlook 2003 has been very slow starting up for some time. I thought it was all part of the general slowing down of my XP system which needs to be reinstalled as I reported a short while ago (My Current XP OS is Dying (and Holiday Weekend in the UK)). However yesterday I went to empty the “Deleted Items” folder and got an error message saying

“The messaging interface has returned an unknown error. If the problem persists, start Outlook again.”

I duly restarted Outlook but the same error message appeared when I tried to empty the “Deleted Items” folder again. Now, as you may know Outlook has problems if the .pst file becomes too large, there are also problems with deleting large numbers of files, so I first tried reducing the size of the main folder by archiving emails older than 1 Jan 2008. The archive routine duly produced the folder structure in the new archive.pst I created but wouldn’t move the emails. I could manually move the emails by dragging and dropping but couldn’t empty the deleted items folder. At this point Outlook locked up and I had to terminate it in the Task Manager. On restarting it went through the

“The data file ‘Personal Folders’ was not closed properly. The file is being checked for problems.” checking procedure. However this did not fix the problem (another Microsoft annoyance – why doesn’t it check the file properly :( ), so at this point I decided to use the pst file repair utility .

  • Repairs the Outlook email data storage files
